What Fox GPS collects

When an operator chooses to use a feature, Fox GPS may collect their account identity, precise latitude and longitude, GPS accuracy, field session times, property and paddock names, travel distance, pest-control observations, weather snapshots, evidence photos, equipment information and operator-entered notes.

The Invoice Builder may also store client billing contacts and addresses, work-hour and consumable lines, rates, totals, ABN details and payment instructions entered by an authorised user. Fox GPS does not collect or store a client's card number through this feature.

The Rounds Used Counter analyses microphone sound levels on the device to identify possible impulse events. It does not save or upload an audio recording.

Why the information is used

Information is used to create field records, maintain session history, display map positions, calculate field effort, restore data after device loss, coordinate authorised teams and generate client reports. It is not sold for advertising.

Device-first and cloud storage

Field entries are saved to the operator's device first. When reception is available, authorised records are copied to the Fox GPS cloud backup. Evidence files may be held separately from their searchable record metadata. Operators should keep the device copy until the app shows that pending backup is zero.

Third-party services

Fox GPS uses ChatGPT sign-in for identity, Google Maps Platform for hybrid mapping and current weather, Stripe for subscription payments, and the app's hosting and storage providers for delivery and backup. Those providers process only the information needed to supply their service and operate under their own privacy terms.

Organisation and landowner access

Organisation records are available only to authorised members of that organisation. Roles control management actions. A landowner invitation is limited to the named property and does not provide access to operational sessions, outcomes, billing or unrelated properties.

Your controls

  • Use Automatic Backup to download an Excel-ready export or a complete device recovery package.
  • Turn GPS, camera or microphone permission off in device settings when the feature is not required.
  • Organisation owners can remove member access while retaining attributed operational history.
  • Request access, correction or deletion of your account information by emailing matt.hoff.wa@gmail.com.

Retention and deletion

Active records are retained while an account or organisation needs them. Recoverable organisation deletions are retained for up to 30 days before permanent removal. Payment records required for accounting or legal obligations may be retained separately. Clearing browser data can permanently remove field records that have not yet been backed up.

Security and incidents

Fox GPS uses secure HTTPS connections, signed-in access, organisation separation and restricted service credentials. No system can guarantee absolute security. Report suspected unauthorised access promptly to the contact above so access can be investigated and contained.
